About the Role

We are seeking a detail-oriented Office Administrative Assistant to join our team. This position will be responsible for providing comprehensive administrative support with a focus on bookkeeping, inventory management, order processing, and sales team coordination. The ideal candidate will be a self-starter who can efficiently manage multiple priorities while maintaining accuracy in all tasks.

Key ResponsibilitiesAdministrative & Bookkeeping

Process invoices, purchase orders, and receipts using QuickBooks
Reconcile payments and maintain accurate financial records
Assist with basic bookkeeping functions and financial reporting
Manage office supplies and equipment

Inventory & Order Management

Monitor inventory levels and assist with inventory reconciliation using Katana ERP
Process customer orders and coordinate with warehouse team
Update product information and pricing as needed
Generate reports on inventory status and order fulfillment

Shipping & Logistics

Coordinate shipping and delivery using ShipStation
Track shipments and resolve any delivery issues
Liaise with shipping carriers as needed
Process returns and exchanges

Sales Support

Act as the primary point of contact for the field sales team
Address inquiries and resolve issues for sales representatives
Maintain customer information in HubSpot
Assist with sales documentation and reporting

Qualifications

High school diploma required; Associate’s degree in business administration, accounting, or related field preferred
2+ years of experience in an administrative role with bookkeeping responsibilities
Advanced proficiency in Microsoft Excel or Google Sheets is a must
Proficiency with QuickBooks, or ability to quickly learn
Experience with ERP systems (Katana experience is a plus)
Familiarity with shipping software (ShipStation experience is a plus)
Knowledge of CRM systems (HubSpot experience is a plus)
Strong attention to detail and organizational skills
Excellent communication skills, both written and verbal
Ability to prioritize tasks and meet deadlines in a fast-paced environment

Job Type: Full-time

Pay: $28.00 – $33.00 per hour

Expected hours: 40 per week
