Position Summary:

We’re looking for a high-performing Executive Assistant to provide dedicated support to our CEO, General Counsel, and legal department. This is a key role for someone who excels in fast-paced environments, takes initiative, and knows how to anticipate the needs of busy executives.

This person will manage schedules, communications, meetings, and conduct administrative duties as needed. This is while also overseeing front desk operations and serving as the primary point of contact for visitors and deliveries. The ideal candidate is highly organized, solution-oriented, and confident in navigating high-level priorities with professionalism and efficiency.

Responsibilities:

Executive Support: Provide comprehensive administrative support directly to the CEO and legal team handling confidential information with the highest level of discretion. Proactively anticipate needs, often solving problems, and preparing resources before they are explicitly requested. Manage calendars with meticulous attention to detail. Act as a liaison between the CEO and internal departments, external partners, and stakeholders.
Communication & Coordination: Coordinate and streamline internal and external communications. Handle sensitive and confidential information with absolute professionalism.
Document Preparation & Administrative Tasks: Prepare documents, reports, and presentations as needed. Perform administrative duties as needed.
Reception & Front Office: Serve as the front desk receptionist, creating a first-class first impression for all visitors, clients, and stakeholders
Other Duties: Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives

To be considered for this opportunity, candidates must meet the following requirements:

Bachelor’s degree OR equivalent combination of education/experience combined (one year of experience equals one year of education) required
Minimum of five years of executive-level administrative experience required
Proven experience managing up and supporting high-level executives required
Prior experience with front office or reception responsibilities preferred
Proficient in Microsoft Excel and PowerPoint, Google Workspace, and advanced scheduling/communication tools required
Outstanding verbal and written communication skills, with the confidence to interact with high-level stakeholders required
Highly organized, detail-oriented, and capable of juggling multiple priorities in a fast-paced, high-stakes environment required
Demonstrated ability to work independently with minimal supervision required
Strong emotional intelligence, interpersonal skills, and professional discretion when handling sensitive or confidential information required
A self-starter who takes initiative, solves problems before they arise, and thrives in ambiguity required
Adaptable, solution-oriented, and consistently focused on making processes smoother, easier, and more efficient required
