The Hennepin County Elections department is responsible for the administration and supervision of all federal, state, and local elections in the county and the 800,000 registered voters. Hennepin County’s Elections Department is seeking an Elections Executive Assistant to support the county Elections Director as well as other elections department management and staff. This candidate will perform essential administrative tasks to administer secure and transparent elections in Hennepin County. This position primarily consists of daily administrative tasks, daily calendar and correspondence monitoring, coordination of media and public engagement requests, working with department staff to manage critical communications to city and school election partners, responding to requests for data and information, supporting all elections department program areas as needed and other duties as assigned.

Location and hours:
This position is hybrid and will be performed on-site at 625 4th Avenue South, Minneapolis, MN 55415 and remote as job duties require. Work hours will be Monday through Friday, between 8 a.m. – 4:30 p.m. and are subject to change based on business need. While this position is designated as hybrid, based on current requirements hires must reside in or relocate to Minnesota or Wisconsin. New Employee Orientation (NEO) for all new benefit-earning employees is in-person in downtown Minneapolis. Details about NEO will be provided upon hire.

In this position, you will:
Monitor department director’s correspondence, prioritizing responses, investigating and recommending action.
Manage department director’s schedule and calendar, coordinate media and public engagement requests.
Provide analysis and research for department, respond to requests for data and information, coordinate with County Attorney’s Office on data request responses.
Coordinate county canvassing board meetings; election certificates; oaths of office.
Support coordination of department strategic planning, department staff functions, county volunteer coordination, risk and security assessments.
Manage department purchase card.
Support all department program areas as needed and perform additional duties that may include voter registration, candidate filing, campaign finance reporting, customer service, clerk training, voter engagement and absentee voting support.
Need to have:
One of the following:
Six or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.
Note: General administrative work is defined as the administration and/or management of programs, policies, and/or budgets.
Bachelor’s degree or higher in public administration, business administration, or other field appropriate to the position and two or more years of experience in general administrative work relating to the management of departmental/organizational operations or in a specialty area appropriate to the position.

Experience:
Providing administrative support to an executive-level elections official.
Administering elections in Minnesota.
Responding to elections data requests pursuant to the Minnesota Data Practices Act and managing retention of elections related documents pursuant to Minnesota elections law.
Working closely with attorneys.
Monitoring, prioritizing, and responding to high-volume correspondence.
Communicating technical information.
Managing confidential files.
Working with Microsoft Office applications.
Working collaboratively with a diverse group of team members, including internal and external partners.
Knowledge of election statutes, rules, department policy and procedures.
Ability to:
Read and interpret Minnesota election law, Minnesota election rules, and relevant court decisions.
Handle complex and detailed tasks in a fast-paced environment.
Handle complex and simultaneous tasks by setting priorities to meet deadlines.
Work with great attention to detail.

Hennepin County Elections works with partners at the federal, state, and local level to provide voting services to over one million eligible county residents in over 400 polling places throughout the county. Program areas include voter registration, absentee voting, voter education and engagement, local election clerk training, voting technology, election day operations, results reporting and certification, recounts and audits, candidate filing, campaign finance reporting, violation investigations, and elections data stewardship.
