Reporting to the Manager, Operations Support within the Procurement and Systems Optimization Secretariat (PSOS), this role operates within a collaborative team environment and is responsible for securing contract signatures from vendors, as well as facilitating the procurement and exchange of contract documentation between internal and external stakeholders. The position ensures the accurate maintenance of contracts within the Contract Lifecycle Management (CLM) system and upholds compliance with Canadian trade agreements, organizational policies, and procedural standards, including responding to audit and Freedom of Information and Protection of Privacy (FOIP) requests.

Additionally, this role provides training and support to personnel on records management policies, procedures, and best practices related to information management. It also facilitates access and provides administrative support for financial and supply chain systems to help advance patient-centered, safe, and high-quality healthcare across Alberta.

This position also manages user access and account information within procurement systems. Responsibilities include maintaining corporate accounts across Alberta Health Services (AHS) departments—such as Grand & Toy and Amazon—and setting up external customer accounts for purchasing portals, as well as managing access to Oracle roles and responsibilities.

Key Responsibilities

Responsibilities include, but are not limited to:

Proofreading and formatting system access documents.

Tracking records in Excel.

Responding to phone calls and emails.

Creating documents as required.

Acting as the primary point of contact for stakeholders.

Providing contract administration support to Contract Coordinators, including documentation, reporting, filing, contract maintenance, and monitoring.

Reviewing requests from the AHS Contracting department.

Processing and triaging submitted requests.

Supporting access provision to various online platforms.

This role requires attention to detail, strong organizational skills, and the ability to effectively communicate with internal and external stakeholders while ensuring compliance with relevant policies and regulations.
