A finance company in Chicago is seeking an Administrative Assistant to join their team. This Administrative Assistant position offers a competitive salary of $60,000 – $70,000 and follows a highly desirable schedule of 7:30 AM – 4:30 PM. This is an engaging, medium-paced role ideal for someone who is highly professional, detail-oriented, and able to work independently while staying on top of daily responsibilities. This individual will play a key role in supporting both administrative and front office functions to ensure smooth and efficient day-to-day operations. Responsibilities of the Administrative Assistant:

  • Manage front desk operations, including greeting guests and handling incoming calls with a high level of professionalism.
  • Coordinate heavy scheduling and calendar management using Microsoft Outlook.
  • Provide administrative support to team members, including document preparation and data entry.
  • Handle incoming and outgoing mail, packages, and office correspondence.
  • Maintain office organization, supplies, and general upkeep of common areas.
  • Assist with meeting coordination, including preparing materials and setting up conference rooms.
  • Support internal processes and assist with ad-hoc administrative tasks as needed.
  • Serve as a reliable point of contact for office-related needs and ensure a positive office environment.

Qualifications of the Administrative Assistant:

  • Prior administrative or office support experience required.
  • Minimum of 2–3 years of relevant experience required.
  • Experience in a financial firm is preferred but not required.
  • Strong Microsoft Office skills, particularly Outlook for scheduling.
  • Highly professional demeanor with excellent communication skills.
  • Ability to work independently and take initiative without constant direction.
  • Strong organizational skills and attention to detail.
  • Comfortable managing multiple tasks in a medium-paced environment.
  • Reliable, proactive, and able to anticipate needs and follow through.
  • Experience booking international travel preferred but not required.
  • Microsoft certifications a plus.
