We are seeking a proactive, organized, and detail-oriented Senior Administrative Coordinator to provide high-quality administrative support to multiple Senior Directors and Vice Presidents. This role operates within a shared support model, offering task-driven, efficient administrative assistance across a range of leaders and teams.
The Senior Administrative Coordinator plays a vital role in keeping daily operations moving smoothly, ensuring that leaders can focus on strategic initiatives. Key Responsibilities:
Provide calendar management, meeting scheduling, and coordination for multiple leaders across teams
Arrange domestic and international travel, including itineraries and logistics
Process and track expense reports, invoices, and related documentation
Assist with meeting logistics, including agendas, materials, note-taking, and follow-ups
Support basic site administrative functions as needed (e.g., space planning coordination, supply ordering, visitor logistics)
Maintain document organization and version control across shared systems
Communicate effectively with internal stakeholders and partner EAs
Work collaboratively within a centralized support model under the guidance of a Senior EA
Basic Qualifications:
5-7 years of experience in an administrative, coordinator, or office support role
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and/or Google Workspace
Strong time management and organizational skills with high attention to detail
Ability to handle sensitive and confidential information with professionalism and discretion
Excellent verbal and written communication skills
Customer-service mindset with a proactive, flexible approach to shifting priorities
Ability to earn trust, maintain positive and professional relationships, and contribute to a culture of inclusion
Must be a U.S. citizen or national, U.S. permanent resident (current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum.
Preferred Qualifications:
College degree
Experience supporting multiple stakeholders or working in a shared services model
Familiarity with travel booking platforms and expense management systems (e.g., Concur, Navan) and
Experience with international travel, including travel booking sites and protocols
Experience in a fast-paced, highly technical or operations-focused environment
Interest in aerospace, technology, or mission-driven organizations

Required for Certain Job Profiles: Drivers who operate Commercial Motor Vehicles with a Gross Vehicle Weight (GVW), Gross Vehicle Weight Rating (GVWR) or combination of power unit and trailer that meets or exceeds 10,001 lbs. and/or transports placardable amounts of hazardous materials by ground in any vehicle on a public road while in commerce, may be subject to additional Federal Motor Carrier Safety Regulations including: Driver Qualification Files, Medical Certification, Road Test, Hours of Service, Drug and Alcohol Testing (CDL drivers only), vehicle inspection requirements, CDL requirements (if applicable) and hazardous materials transportation/shipping training.
