Job Description:

We are seeking a friendly, professional, and organized individual to join our team as an Administrative Assistant in our durable medical equipment office. This is an exciting opportunity for someone who enjoys interacting with patients, providing exceptional customer service, and helping ensure the smooth operation of our office. As a key member of our team, you will be responsible for assisting with the daily operations, coordinating patient flow, and providing administrative support to our team.

Key Responsibilities:

Address patients and clients with a positive, friendly demeanor
Answer and direct phone calls in a courteous manner
Answers incoming phone calls, faxes and emails, takes customers’ orders for durable medical and respiratory equipment, repairs, supplies, and other miscellaneous items
Schedule and confirm patient deliveries, services and pick-ups, ensuring accurate data entry
Verify insurance information and assist patients and clients with billing questions
Process orders in a timely and accurate matter
Maintain accurate patient records and ensure confidentiality
Assist with patient orders and ensure proper documentation
Coordinate with technicians to manage patient schedules and equipment needs
Ensure office supplies and equipment are stocked and operational
Perform general administrative duties, including filing, faxing, and office organization
Handle patient concerns and inquiries in a professional and empathetic manner
Verifies payer (with matrix), obtains authorization, expiration date
Verifies patient demographics and prior equipment usage with patient
Informs patient and client of financial responsibilities: copay, share of cost, deductible, and collection.
Enters data and each order (new or otherwise) in system accurately and in a timely manner
Assist with any additional office tasks as needed

Qualifications:

High school diploma or equivalent (required); Associate’s degree or higher (preferred)
Previous experience in a medical or healthcare setting, preferably in DME (preferred)
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Proficient with Microsoft Office Suite (Word, Excel, Outlook)
Familiarity with scheduling and patient management software (preferred)
Ability to maintain a professional demeanor in a fast-paced environment
Detail-oriented and reliable with a commitment to excellent customer service
Knowledge of insurance verification and billing procedures is a plus
Bilingual (Spanish/English) is a plus, but not required

Working Conditions:

This position is based in our Brea office
Flexibility with scheduling may be required, including evenings or weekends if needed
Part-time availability (specify hours and shifts) could lead to fulltime
Compensation will be based on experience
