Qualified professional needed to fill an exciting Executive Assistant position supporting the Vice President, Litigation & Govt Investigations and Executive Director, Strategy & Operations and team members.
The successful candidate should be a self-motivated, efficient team player with strong oral and written communication skills. Candidate should also have a demonstrated capacity to develop new skills and learn new software applications. He/she will be responsible for supporting multiple attorneys and compliance professionals; managing executive level calendars, travel requirements and meeting logistics.
Candidate must be capable of multi-tasking, prioritizing and have the ability to work with other members of the BMS Law Department. Independent judgment is required to plan, prioritize and organize a diversified workload, and meet applicable deadlines on a timely basis. Candidate will interact with a diverse group of external advisers, attorneys and visitors, as well as internal contacts at all levels of the Company. Exhibit a positive work attitude, high productivity and a collaborative approach with other employees across the organization. The candidate must demonstrate superior personal integrity and ethics, including an exceptional sense of discretion; strong interpersonal skills; excellent organizational skills and attention to detail are required. Respect for confidentiality and ability to manage confidential information with discretion is of critical importance.
Key Responsibilities:
Perform a variety of administrative responsibilities on behalf of the practice area with minimal supervision
Manage calendars, as well as schedules, and organize complex activities such as department calendars, meetings, travel, expenses, conferences and related activities across numerous sites
Support opportunities for efficiency across department
Support creation and maintenance of SharePoint site and knowledge management activities
Continuously identify improvements to functional processes and support the change management to implement.
Applies core competencies in simple and routine situations and decision-making
Assist with onboarding of new colleagues
Work in matter management and e-billing software, as needed
Coordinate and answer correspondence and assemble highly confidential and sensitive information
Responds to regularly occurring requests for information.
Work independently and serve as a key team contributor for special nonrecurring and ongoing tasks, assignments and projects including time sensitive and high-profile meetings
Required Qualification(s) and Desired Experience:
Bachelor’s Degree preferred
3+ years experience in administration either at a law firm or large corporation, pharmaceutical experience preferred
Some project Management experience preferred
Exceptional communication skills – written and verbal
Excellent interpersonal skills and ability to work on teams cross-functionally
Experience with data analytics
Strong problem solving skills
Candidate also should have a demonstrated capacity to develop new skills and learn new software applications.
Preferably advanced knowledge in Microsoft Office, Outlook, Concur, Purchasing systems and SharePoint

BMS has an occupancy structure that determines where an employee is required to conduct their work. This structure includes site-essential, site-by-design, field-based and remote-by-design jobs. The occupancy type that you are assigned is determined by the nature and responsibilities of your role:
Site-essential roles require 100% of shifts onsite at your assigned facility. Site-by-design roles may be eligible for a hybrid work model with at least 50% onsite at your assigned facility.
