Summary
We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Responsibilities
Act as the point of contact among executives, employees, clients and other external partners
Manage executives’ calendars and set up meetings.
Make travel and accommodation arrangements.
Format information for internal and external communication – memos, emails, presentations, reports.
Screen and direct phone calls and distribute correspondence
Maintains guidelines for policies and procedures.
Maintains operations by initiating, coordinating, and enforcing program, operational, and personnel policies and procedures
Completes patient care requirements by scheduling and assigning nursing and staff; following up on work results.
Provides information to patients and the health care team by answering questions and requests.
Resolves patient needs by utilizing multidisciplinary team strategies.
Maintains a safe and clean working environment by designing and implementing procedures, rules, and regulations; calling for assistance from other health care professionals.
Maintains patient confidence and protects operations by monitoring confidential information processing.
Maintains documentation of patient care services by auditing patient and department records.
Ensures operation of medical and administrative equipment by verifying emergency equipment availability; completing preventive maintenance requirements; following manufacturer’s instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Maintains a cooperative relationship among health care teams by communicating information; responding to requests; building rapport; participating in team problem-solving methods.
Contributes to team effort by accomplishing related results as needed.
Conducts biweekly time sheets.
Maintains employee time off requests.
Attends weekly administrative meeting.
Duties as assigned
Skills
Work experience as an Executive Assistant, Personal Assistant or similar role
Excellent MS Office knowledge
Outstanding organizational and time management skills
Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
Excellent verbal and written communications skills
Discretion and confidentiality
High School degree
Associate required
Bachelor’s preferred

Pay: $41,000.00 – $52,000.00 per year
