Overview
The Administrative Assistant is responsible for coordinating and scheduling medical office appointments while ensuring all client-specific and compliance requirements are met. This role requires attention to detail, strong organizational skills, and excellent communication to facilitate a seamless scheduling experience for employees, clinics, and clients.
Responsibilities
Medical Appointment Scheduling & Coordination
Schedule occupational health and medical office appointments following client-specific guidelines.
Ensure that all scheduled appointments have an authorization form sent to both the clinic and the employee.
Handle complex scheduling requests with special attention to detail.
Manage specific appointment types that require additional scheduling considerations, such as waiting for a start date when applicable.
If unsure about any scheduling requirements, proactively seek guidance.
Client Expectations & Communication
Act on scheduling requests immediately to ensure timely processing.
Contact employees promptly once a scheduling request has been submitted.
Ensure all appointments are scheduled within 24 hours of receiving the request.
If scheduling exceeds 24 hours due to clinic availability, escalate for assistance.
Maintain professional and clear communication with clinics, employees, and clients.
Documentation & Compliance
Document all scheduling actions in the appointment and case records.
Ensure compliance with medical office protocols and occupational health requirements.
Regularly review and verify scheduled appointments for accuracy.
Qualifications
Experience in medical scheduling, occupational health, or healthcare administration preferred.
Strong understanding of medical appointment processes and compliance requirements.
High attention to detail and ability to work efficiently under time-sensitive conditions.
Excellent written and verbal communication skills.
Proficiency in phone systems, electronic medical records (EMR) systems, and Microsoft Office Suite.
Problem-solving skills with a proactive approach to challenges.
