Position Title: Senior Executive Administrative Assistant (S4)

Role
Provides advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and practices.
Responsibilities
Prepare and provide documents, reports and information for the EMT Member and/or staff in an expedient and efficient manner.
Respond to inquiries made by researching inquiries, interpreting policy and making appropriate decisions based on company policy and issues directions to employees as needed.
Draft, edit and produce documents and presentations for review by Executive Management.
Prepare and review EMT members’ and staffs’ expense reports and submit to Accounts Payable.
Track external and internal documents requiring review or signature and follow-up to assure documents are executed in a timely manner.
Screen mail and email messages for priority. Organize according to content, importance and destination.
Handle confidential material related to company policy and development; and disseminate information with appropriate discretion.
Work as liaison between senior executives and staff to achieve maximum company performance and address items as needed.
Organize internal and external meetings, correlate schedules, develop agendas, coordinate logistics, arrange for a/v equipment, and refreshments if appropriate. Coordinate weekly staff meetings.
Coordinate all travel, including airfare, lodging, transportation and agenda preparation, for EMT members.
Correlate all action items, goals and objectives generated at meetings. Monitor progress of action items identified by the EMT member and follow up to conclusion issuing status reports as appropriate.
Cover for other executive assistants in the executive office and provide back-up support to other executives when requested.
Support Executive Management Team with various requests and projects.
Education/Certifications
High School diploma or equivalent
Advance coursework or professional degree preferred
Previous C-Level Experience preferred
Experience/Minimum Requirements
Seven or more years of executive office experience or equivalent education and experience
Expectations
Expert knowledge of office procedures
Excellent PC skills – including MS Outlook, Excel, Word and PowerPoint
Ability to maintain highly confidential records and information
Attention to detail, timely follow-up, excellent multitasking and organizational skills
Ability to act independently; uses judgement to prioritize assignments
Proactive approach to assignments and procedures
Ability to respond to inquiries in a 24-hour environment
Flexibility in prioritizing assignments

Working Conditions: This role falls into our hybrid work model working in the office Tuesdays, Wednesdays, and Thursdays. On Mondays and Fridays, teammates on the hybrid schedule will have the option to work from the office or home. There is an expectation of collaboration with teammates and stakeholders for moments that matter that could require travel.
The pay range offered for this position is $34.62-$47.55 per hour. A candidate’s offer is determined by various factors including but not limited to, depth of experience, role-related knowledge and skills, relevant education or training, internal alignment, and work location. Depending on the position offered, the compensation package may also include incentive compensation opportunities in the form of a discretionary annual cash bonus or commissions, and equity incentives. Employees (and their families) are eligible for medical, dental, vision, and basic life insurance. Employees are able to enroll in our company’s 401k plan. Employees will also receive a minimum of 18 days of paid time off each year and 12 paid holidays throughout the calendar year.
