Administrative Assistant Jobs in United States at FA Outdoor Spaces
Assist in the day-to-day management and operations of a condominium including the ongoing administrative, maintenance, and covenant enforcement responsibilities vested therein pursuant to applicable governing documents and as directed by the Supervising Community Manager and Board of Directors. Note that the specific duties outlined below are intended to provide a general understanding of the functional responsibilities of the role and therefore do not include granular detail of all activities encompassed within a given duty.
Conduct routine inspections of community common areas and amenities.
Document and communicate specific concerns, including suggestions for appropriate corrective action, relative to community common areas and amenities (maintenance, landscape, service provider deficiencies, etc.).
Supervise on-site maintenance personnel, contractors and/or independent vendors, as applicable.
Promptly assist association members with questions and concerns relative to routine association business including, but not limited to, accounting related questions, architectural modification requests, community events, etc.
Identify potential violations of association Declaration of Covenants and Restrictions and rules and regulations through regular condominium inspections. Follow up as necessary, with individual property owners for successful remediation and resolution.
Regularly participate in Board of Directors and committee meetings (social, maintenance, safety, planning). Participation shall include creation and publication of meeting notices, preparation of agenda and supporting documents, taking of meeting minutes, etc.
Prepare Requests for Proposals (RFPs) and solicit bids from qualified vendors for recurring and one-off service needs.
Prepare routine community-wide correspondence (announcements, meeting notices, etc.) and broadcast via all appropriate channels, including online posting.
Meet with new community members and answer questions, provide documents, etc.
Review accounts payable (bills/invoices) for the purposes of confirming that associated work has been done to the satisfaction of the association and that corresponding expenses are booked to the appropriate general ledger account.
Receive association mail and file, route to appropriate parties, or respond directly, if appropriate.
Interface with legal counsel and collection companies in the pursuit of outstanding owner assessment account balances.
Perform other duties, as may be from time to time assigned.
