Overview:
Kimley-Horn, one of Fortune Magazine’s “100 Best Companies to Work For,” is looking for an Administrative Assistant to support our Business and Accounting team in Phoenix, AZ! Qualified candidates will be customer service oriented, have a strong professional work ethic, solid computer skills and able to juggle a variety of responsibilities. This is an in office position.
Responsibilities:
Main Support for our Regional Accounting team:
Pre-Lien Notice Progressing and Management
Monthly Operating Expense Assistance/Research
Business Plan Analysis/Tracking
COI Requests and Annual Renewals for the Region
Time Collection Admin
Fleet Management for Region
Alternative Transportation Program Coordination and Management
Long-term Housing and Shift Accommodations for Region
Coordinate with Phoenix Office Property Management on repairs, on-going maintenance and notifications from LL.
Special project support to Regional leadership

Supporting our Phoenix Hub Project Accounting Team with:

Scheduling meetings/conference rooms
Coordinating on-site meals/events when needed
Assisting visitors (reserving workspace, conference rooms, etc.)
Expense reports, travel arrangements, office supplies, filing/scanning
General mail delivery, shipping/FedEx
Electronically signing manual checks and distributing them via mail or FedEx
Qualifications:
High school diploma or equivalent
2+ years of relevant experience
Proficiency in Microsoft Office/Adobe Acrobat
Work individually and within a team environment
Manage time efficiently and professionally
Excellent communication and interpersonal skills
Strong attention to detail
Ability to multi-task and work in deadline driven environment
