Duties

The Administrative Assistant (AA4) is the principal assistant providing administrative support to the Training Division Commander and the management team. The AA4 is responsible for the oversight of administrative operations within the Training Division and ensures consistency with agency policy, procedure and local standard operating procedures. The AA4 exercises independent judgment to accomplish assignments and solve problems. The AA4 is the Training Division’s Public Disclosure Coordinator, handles budget processes of payables/receivables, compiles reports, maintains data bases and office record keeping, and initiates actions to ensure work unit and/or office goals are met. Further the AA4 supervises 3 full-time employees.

Our new teammate will be able to:

Prepare briefing materials, reports, and other supporting materials to use by the Division Commander.

Develop and maintain the Division Commander’s confidential administrative files.

Provide Office wide support to the division and command staff.

Update policies in regards to procedures for administrative matters.

Coordinate and facilitate on-boarding and off-boarding of staff.

Qualifications

Required Qualifications:

High school graduation or GED equivalent.

Four years of progressively responsible experience in office/clerical, secretarial, or general administrative work.

An associate degree in business administration or related field may substitute for two years of the required experience.

Working knowledge of communication and correspondence practices. Writing, proofing, and editing skills requiring knowledge of proper English and grammar and ability to edit and proofread documents using plain talk principles.
