Sharon Public School District is seeking an Executive Assistant/Project Coordinator to the Superintendent. This person will be responsible for supporting the critical work of the district and central office, specifically pertaining to the Superintendent. This position requires a level of confidentiality and the ability to work independently with limited supervision. The Executive Assistant/Project Coordinator must demonstrate respect and regard for the dignity of all students, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment. Job Description:
The district is committed to providing the best support and customer service in every school building and department within Sharon Public Schools. This position is essential to ensuring that the needs of every student and staff are met.
The Executive Assistant to the Superintendent will provide a wide-range of administrative support to the Superintendent of Schools. The primary responsibility of this position is to ensure that the Superintendent is organized and prepared to manage the day-to-day operations of the school district. This position also require to be the Recording Secretary for the School Committee, which is separately stipend.
PRIMARY DUTIES AND RESPONSIBILITIES:
Serve as the primary point of contact for the Superintendent and Central Office.
Greet and screen visitors to the Superintendent and Central Office; prevent unnecessary interruption of the Superintendent.
Respond to inquiries by appropriately directing calls or seeking responses and returning calls. Screen telephone calls for the Superintendent; problem-solve inquiries, whenever possible, and refer to appropriate alternate parties.
Maintain central office voice mail system and update the central office message as needed. Make calls for the Superintendent when requested/appropriate.
Maintain the Superintendent’s calendar.
Coordinate appointments and meetings for the most effective use of the Superintendent’s time.
Produce (from dictation or composing at the direction of Superintendent) documents as needed for the Superintendent and other Senior Staff using Google Apps, Microsoft Word, Excel, PowerPoint and other software as needed.
Assist with the creation of school committee presentations as requested.
Assist with the creation of district-wide presentations as requested.
Work with Data Specialist and others to compile and display data in clear and useful ways for analysis.
Support the HR Manager as requested.
Create, coordinate, and oversee tracking systems for various District wide processes such as Field Trips, Course Reimbursements, Course Credits and Lane Changes.
Act as liaison for Superintendent with administrators by notifying of meetings, report due dates, and other school business.
Keep the Superintendent informed of all critical issues.
Initiate research and obtain information for the Superintendent on a variety of matters on an as-needed basis.
Send and draft, as necessary, district-wide parent communications as directed by the Superintendent using School Messenger.
Support with social media communications as requested.
Coordinate and update the District Website as needed.
Maintain confidential files and information.
Coordinate all aspects of events, retreats & large group meetings (e.g. staff recognition event, administrator retreats).
Maintain confidentiality on matters with which the Superintendent or School Committee are involved.
Maintain and coordinate supply orders to support the effective function of the Central Office Staff.
Initiate, process, and follow through Purchase Orders that may be necessary to support the work of the Superintendent or the Central Office staff.
Create and distribute Administration meeting agendas and minutes.
All other duties as deemed necessary by the Superintendent of Schools.
School Committee Recording Secretary
Post, as legally required, all meeting agendas for the School Committee and School Committee subcommittees.
Publicize the agenda on the District website and appropriate social media platforms.
Attend all School Committee meetings and prepare minutes for approval.
Organize and maintain the files (both paper and electronic) for the School Committee.
Prepare and maintain a correspondence log for all incoming School Committee correspondence.
Summarize community correspondence to the school committee for School Committee meetings.
Ensure that all agendas, minutes, and meeting packets are made available to the public as required by School Committee practice and/or policy.
Other support for the School Committee as deemed necessary by the Superintendent of Schools.
Maintain and update School Committee policies as necessary
Ensure that all payment warrants are appropriately authorized by the School Committee and forwarded to Town personnel, as necessary
Competencies/Skills and Qualifications:
High School Diploma or GED equivalent with specialized course work in general office practices and administrative duties. Associates Degree preferred.
Minimum three years of executive assistant/project coordinator experience.
Working knowledge of modern office practices and procedures.
Expertise in note taking, word processing – Microsoft Office (Excel, PowerPoint, Word), Google Suite (Mail, Calendar & Docs), website maintenance , google apps for education and general resiliency around use of new digital products.
Ability to meet and deal effectively with the public.
Strong oral and written communication skills.
Ability to manage multiple tasks and projects effectively.
Ability to prioritize, problem solve and work independently.
Ability to handle stressful situations.
Experience with Munis and budgets preferred.
