Position Summary:We are seeking a dynamic and detail-oriented Site Coordinator to join our team at the St. Paul, MN location. The successful candidate will provide essential support to our Woodridge site staff and leadership. This role involves coordinating, planning, and organizing site events and corporate initiatives, along with providing operational and basic administrative support to the Site Director.

Primary Responsibilities:

Event Coordination and Participation:

Lead, plan, coordinate, and participate in various events and activities, including team building, employee recognition events, and employee giving campaigns.

Administrative Functions:

Perform general daily administrative tasks such as answering phones, managing calendars, scheduling travel, arranging meetings, coordinating catering, ordering supplies, and onboarding new employees.

Process expense reports, plan meetings and events, create or modify business documents, prepare presentations from source materials, handle teleconference setups, and act as a liaison for remote access issues.

Software Utilization:

Use and understand Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other business-specific software such as Concur (travel and expense system), Workday (employee database, performance management), Kronos (timekeeping), and Outlook (calendaring and email).

Create and maintain presentations and spreadsheets.

Public Relations:

Serve as the public relations point of contact for the Woodridge site.

Stakeholder Collaboration:

Partner and work closely with various internal stakeholders such as operations, HR, and talent acquisition.

Correspondence:

Receive and respond to routine correspondence.

Desired Qualifications:

Experience:

3+ years of experience in an administrative assistant and/or project coordinator role, customer service, teaching, or event planning.

Skills:

Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).

Demonstrated experience handling confidential or business-sensitive information.

Excellent verbal and written communication skills with the ability to communicate effectively at all organizational levels.

Education:

An associate’s or bachelor’s degree in Communications, Public Relations, Human Resources, Education, Business Administration, or a related discipline is required.
