Hydron Energy Inc. is an innovative clean technology company specializing in advanced gas separation and renewable energy solutions. We are looking for a highly organized, proactive, and detail-oriented Administrative Assistant to support our daily office operations and contribute to the success of our growing team.
Key Responsibilities
Greet visitors and serve as the first point of contact for the office.
Answer and direct incoming telephone calls and emails professionally.
Receive, sort, and distribute mail, deliveries, and courier packages.
Prepare, edit, and organize documents, reports, presentations, and correspondence.
Maintain electronic and paper filing systems.
Assist with data entry and record keeping.
Schedule meetings, coordinate calendars, and arrange meeting rooms.
Prepare meeting agendas and take meeting minutes when required.
Follow up on outstanding tasks, action items, and deadlines.
Order and maintain office supplies and coordinate vendor orders.
Assist with onboarding new employees and general HR administration.
Support accounting with administrative tasks such as collecting invoices and organizing documentation.
Help maintain company procedures, forms, and internal records.
Coordinate travel arrangements and logistics when required.
Ensure common office areas, including the kitchen and meeting rooms, remain clean, organized, and well stocked.
Provide general administrative support to management and engineering teams.
Perform other administrative and operational duties as assigned.
Qualifications
Diploma or certificate in Business Administration or a related field is an asset.
2+ years of administrative or office experience.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with Microsoft Teams and SharePoint is an asset.
Ability to work independently and manage multiple priorities.
