Role Overview

The Administrative Assistant (Junior) provides frontline administrative and coordination support for the annual statistics submission process. This role acts as a primary point of contact for public bodies, ensuring accurate data collection, timely communication, and efficient reporting.

The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a structured public-sector environment.

Key Responsibilities

1. Client & Inquiry Management

  • Monitor and respond to email inquiries related to the annual statistics process
  • Provide guidance on submission requirements, timelines, and technical issues
  • Escalate complex issues to internal stakeholders when required

2. Contact & Account Administration

  • Maintain and update organizational and contact information
  • Manage reporting agent accounts (add, modify, deactivate access)
  • Support users with login issues and password resets

3. Data Management & Reporting

  • Run completion statistics and generate summary reports
  • Track progress and provide status updates to stakeholders
  • Maintain accurate records of public body changes (additions, updates, removals)

4. Process Support & Quality Assurance

  • Maintain spreadsheets, trackers, and documentation
  • Review submissions for completeness and follow up on missing data
  • Ensure accuracy across systems and reporting tools

Qualifications

Education (Mandatory)

  • High School Diploma / GED

Education (Preferred)

  • Post-secondary education in Office Administration or related field

Experience Requirements

Must Have

  • Minimum 1 year experience in:
  • Data management, trackers, and reporting
  • Minimum 2 years experience using:
  • Microsoft Outlook (email, calendar, task management)

Nice to Have

  • 1+ year experience in:
  • Client or stakeholder support (email/phone)
  • SharePoint Online (collaboration & shared data handling)
  • Similar administrative roles
