About the Company
Triun, LLC is seeking a highly organized, dependable, and detail-oriented Construction Administrative Assistant – Reception & Light Accounting to support the daily operations of our growing construction company. This position plays a vital role in ensuring the efficient operation of the front office while providing administrative and accounting support across multiple departments. The ideal candidate will possess excellent communication, customer service, and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
About the Role
Responsibilities include serving as the first point of contact for visitors, clients, and vendors, processing invoices, maintaining accounting and vendor records, supporting accounts payable functions, coordinating office operations, and assisting project management and accounting teams with administrative documentation. This role works closely with office personnel, accounting staff, vendors, subcontractors, and executive leadership to help maintain organized, accurate, and efficient business operations.
Responsibilities
- Answer and route incoming phone calls; take and relay messages as needed.
- Monitor the office door buzzer and direct visitors, vendors, and deliveries to the appropriate department.
- Order and maintain office and breakroom supplies on a weekly or bi-weekly basis.
- Monitor and manage the accounting email inbox daily.
- Review incoming invoices and supporting documentation for completeness and accuracy.
- Print, organize, and distribute vendor invoices received via email.
- Enter invoices into Sage accounting software.
- Maintain accurate electronic and hard-copy invoice files.
- Collect, organize, and reconcile company credit card receipts and supporting documentation.
- Maintain vendor and subcontractor records within Sage.
- Enter and update W-9 forms, Certificates of Insurance (COIs), and other compliance documents in Sage.
- Monitor expiration dates for insurance certificates and compliance documentation.
- Contact vendors and subcontractors to request updated W-9s, COIs, and required compliance documents.
- Verify vendor information is current and complete prior to invoice processing and payment.
Administrative & Filing Responsibilities
- Maintain accurate and organized project, vendor, and accounting files.
- Assist with document retention and recordkeeping procedures.
- Manage incoming and outgoing mail, packages, and accounting correspondence.
- Maintain office supplies and administrative records as needed.
- Support project managers with administrative and accounting documentation.
- Coordinate with project teams regarding invoice approvals and missing documentation.
Pay range and compensation package
*Hourly rate between $20-$23 per hour based on experience. Full time position.*
*All employees are subject to a 90-day probationary period.
