We have Service Groups that are focused on Highway & Drainage, Traffic, and Environmental services in the transportation design industry.

Description

We are seeking a full-time Administrative Assistant for our Tampa Corporate Office. The ideal candidate will be a detail-oriented, organized, and self-motivated individual with a strong ability to handle project administration, office operations, and provide marketing and production support. They will thrive in a team environment, manage multiple tasks effectively, and possess a positive, can- do attitude. Strong written and verbal communication skills, as well as problem-solving and analytical abilities, are essential for success in this role.

Essential Duties and Responsibilities:

Administrative Support

Assist production departments with submittals, document creation and editing, and other related tasks as needed

Support the Human Resources Department with daily/monthly tasks as well as special projects

Provide marketing support, including training under the Marketing Manager and serving as a backup when needed

Assist the Accounting Department with contract preparation, routing, and document management

Coordinate and prepare content including but not limited to the office newsletter

Office Operations

Provide general clerical support, including managing daily mail, overnight shipments, maintaining breakroom inventory, and restocking office supplies

Create and maintain company and conference room calendars; coordinate catering for company meetings

Perform document scanning, digital filing and copying as needed

Assist with travel arrangements and conference/seminar registrations

Coordinate vehicle/truck maintenance and manage rental vehicle arrangements

Software Requirements:

Proficient/Expert in Microsoft Applications, including Excel, Outlook, Word

Proficient with Adobe Creative Cloud applications and database management (FileMaker Pro preferred)

Education Requirements

:

Associate’s (AA) Degree preferred

Work Experience:

A minimum of 5 years of experience in an administrative assistant role is required

Salary

:

Competitive hourly rate, based on experience
