Position Overview

Our client, a well-established higher education institution in Boston, is seeking a highly organized and proactive Sr Administrative Assistant to support senior academic leadership, including the Vice President of Academic Affairs and Deans across multiple academic schools.

The ideal candidate is polished, tech-savvy, detail-oriented, and confident managing complex calendars, shifting priorities, and high-level communication.

This role requires someone who can anticipate needs, manage competing demands, and serve as a trusted partner to leadership by ensuring day-to-day operations run smoothly.

Key Responsibilities

  • Provide high-level executive and administrative support to senior academic leadership
  • Manage complex calendars in Microsoft Outlook, including scheduling, rescheduling, and prioritizing meetings
  • Coordinate meeting logistics, agendas, and preparation materials to ensure productive discussions
  • Monitor and manage email flow, triaging urgent matters and drafting professional responses as needed
  • Track projects, deadlines, and follow-up items to keep initiatives moving forward
  • Coordinate travel arrangements and optimize scheduling for efficiency
  • Serve as a central point of communication between leadership, faculty, staff, and external partners
  • Attend meetings, document action items, and ensure timely follow-up
  • Assist with expense tracking, budgeting support, and other administrative financial tasks
  • Troubleshoot scheduling conflicts and operational issues with professionalism and urgency
  • Support office operations and help maintain strong workflow across Academic Affairs
  • Course and syllabus review processes
