DescriptionWe are looking for a dedicated Administrative Assistant to join our team located in Fall River, Massachusetts. The successful candidate will be directly reporting to the owner, providing administrative support, managing and reviewing documents for accuracy and compliance, and ensuring that office functions run smoothly and deliverables are met. This role offers a contract to hire employment opportunity.
Responsibilities
Provide administrative support to the owner
Review and manage documents to ensure accuracy and compliance, specifically with contracts and legal documents
Assist in the smooth running of office functions and ensure deliverables are met
Log notes into the system, update files, and manage emails
Perform general office duties such as filing, typing, and scanning
Create Zip files for large documents and type documents
Utilize computer skills to manage data entry and other tasks
Ensure compliance documentation is properly handled and stored.
Requirements
Must possess skills in compliance documentation and understand the legalities involved in administrative tasks.
Proficiency in computer data entry is required for maintaining records and databases.
Experience in document review is necessary, with an ability to scrutinize and manage official files.
Candidates should have a background in administrative office work, handling tasks such as scheduling, correspondence, and office organization.
Excellent written and verbal communication skills are essential for interacting with internal teams and external contacts.
Ability to prioritize tasks and manage time effectively to meet deadlines.
Detail-oriented and highly organized to handle a variety of tasks simultaneously.
Must demonstrate problem-solving skills and the ability to make decisions under pressure.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.
A minimum of a high school diploma or equivalent is required; a bachelor’s degree or further education in Business Administration or a related field is preferred.
Experience in a similar role or industry would be advantageous but not necessary.
Must demonstrate a high level of professionalism and confidentiality as they will be dealing with sensitive information.
Proactive and self-motivated with the ability to work independently and as part of a team.
Strong customer service skills are necessary, as the role may involve interacting with clients or customers.
