Position Overview

The Office Administrator I position is responsible for the general administration and daily operations of their department. Responsibilities include, but are not limited to, administrative support, clerical support, and supporting department supervision. Must have extensive knowledge of the department, organizational procedures and programs. This position works closely with the public and various levels of the government.

Essential Duties and Responsibilities

(All duties listed may not be included in any one position, nor does the list include all tasks found in a position of this class.)

Plans, assigns, and supervises the work of department personnel.
Assists the department head in special projects and conducts assigned research, procedural and administrative studies.
Performs general administrative functions in connection with the program of staff departments such as personnel, planning and finance.
Confers with people requesting service or making complaints on matters of general importance to the department.
Disposes of or refers cases handled in accordance with established policies and regulations.
Prepares correspondence in accordance with established policies and procedures.
Types or prepares a variety of materials including administrative and public reports.
Establishes and maintains complex filing system;
Maintains an adequate inventory of office materials and supplies.
Relays complex and important instructions and messages.
Reviews expense accounts.
Performs related work as required.

Education, Experience, and Qualifications

Education and Experience

Any combination of education and experience equivalent to graduation from an accredited college or university with an Associate’s Degree, with 3-5 years responsible clerical experience working in a related field.

Knowledge, Skill, and Ability

Thorough knowledge of office administration;
Considerable knowledge of the operations, functions, policies, and procedures of the department to which assigned or ability to acquire such knowledge.
Knowledge of PC based software and ability to use computer.
Ability to type 50 wpm;
Ability to assemble, organize and present financial and factual information derived from a variety of original and secondary sources.
Ability to maintain and update department records.
Ability to establish and maintain effective working relationship with employees, officials and the public.
