POSITION SUMMARY:

Under the direct supervision of the Administrator, the Administrative Assistant manages all accounts payable, payroll, human resources and other assigned duties. He/she ensures that the financial system is accurate, efficient, and in accordance with professional accounting practices and government regulations.

QUALIFICATIONS:

Completion of secondary education or otherwise able to read, write in English and follow oral and written directions at a level necessary to accomplish the job.
Must be able to relate positively to residents and families and to work cooperatively with other employees.
Must meet all local health regulations and successfully complete a post-offer health assessment.
Must have related experience at a level necessary to accomplish the job.
Must have knowledge of office machines and equipment and must be able to demonstrate adequate computer skills.
Must be capable of maintaining regular attendance and performing the essential functions of the job, with or without reasonable accommodation.
Physical and Sensory Requirements (with or without the aid of mechanical devises): Walking, reaching, sitting, grasping, bending, lifting, pushing, fine hand coordination, ability to read and write in English, ability to perform mathematical functions, ability to communicate with residents, families, employees and support agencies, ability to evaluate and interpret financial information and make independent decisions, and ability to remain calm under stress.

RESPONSIBILITIES:
Handles all mail that comes into the facility and distributes it appropriately and timely.
Handles the entire Facility Accounts Payable process including: reviewing invoices, ensuring they are coded properly, get administrators approval signature, entering them into AHT and reviewing payment to be sure they are paid timely.
Handles the entire Facility Payroll process including: reviewing missed punches daily, reviewing time and getting administrator approval, submitting the payroll coversheet and reports to Corporate for final processing, distributing payroll checks, and getting employee signatures on timecards.
Handle all new employee hire paperwork. Assist in the general orientation of new employees including the initiation of personnel and health records; maintenance of all employee related records.
Assist the Administrator by providing administrative and clerical support; answer telephones, take and distribute messages; ensure that the office and office machines are maintained in a clean and safe manner.
Maintain resident confidentiality, treat residents with dignity, kindness and respect; know and comply with Residents’ Rights rules.
All other duties as assigned.
