MAJOR FUNCTION: The Administrative Receptionist serves as the primary point of contact for visitors, staff, and external partners. This role is responsible for creating a welcoming environment, providing accurate information and directions, and supporting day-to-day administrative operations. The Administrative Receptionist ensures smooth front office function and assists in maintaining efficient communication and organizational workflow.

Greet and assist visitors and guests in a courteous and professional manner; ascertain the purpose of their visit and direct or escort them to the appropriate location.
Answer, screen, and transfer incoming phone calls to the appropriate staff; take and relay messages; schedule appointments as necessary.
Receive incoming mail, packages, documents, and courier deliveries; log and distribute items within 24 hours.
Operate office equipment, including fax machines, scanners, and copiers, efficiently and accurately.
Maintain and update PolicyStat and SDS Online Portals to ensure current and accurate information.
Prepare, type, and format documents, reports, and correspondence with attention to detail.
Manage the Board Room calendar, including coordinating meeting reservations and setup.
Ensure the cafeteria is fully stocked with necessary supplies, such as coffee, paper products, and utensils.
Attend and assist with recognition committee assignments as needed.
Provide support to the EVP for Business & Operations during Managers’ meetings.
Assist the President/CEO at Executive Team and Board meetings in the absence of the Senior Executive Assistant.
Perform other duties as assigned by the Senior Executive Assistant.

REQUIRED SKILLS/ABILITIES:

Excellent verbal communication skills.
Excellent interpersonal and customer service skills.
Basic understanding of administrative and clerical procedures and systems.
Proficient with Microsoft Office Suite or related software.

QUALIFICATIONS:

Education:

High School Diploma or equivalent
Competent computer skills including MS Office or equivalent
Internet skills including use of e-mails, group messaging and data collection
Experience: Previous office experience preferred
Attendance: Reliable attendance and punctuality are essential functions of this position. The Administrative Receptionist is expected to maintain consistent and timely presence during scheduled work hours to ensure smooth front desk operations and support for staff and visitors.
Physical Requirements:
Must be able to sit, stand, and walk for extended periods throughout the workday.
Ability to lift, carry, push, and pull items weighing up to 25–30 pounds, including but not limited to multiple cases of copy paper and office supplies.
Frequent bending, reaching, and climbing stairs may be required when performing errands or stocking supplies.
Manual dexterity is needed for operating office equipment such as computers, phones, printers, fax machines, and scanners.
Visual and auditory acuity required for interacting with staff, visitors, and vendors, as well as reading and preparing documents.
