We are seeking a meticulous, reliable Administrative Assistant with a background in accounting and strong administrative experience to support our legal, finance, and operational functions. This is a critical role in keeping our internal systems aligned and ensuring professional communication with external partners and stakeholders.
Key Responsibilities
Serve as the administrative point of contact for legal and compliance partners
Coordinate contracts, NDAs, and other legal documentation between Qoves and third parties
Oversee invoice tracking, payment reconciliation, and financial record keeping
Liaise with external accountants, banks, and payment processors to ensure accurate financial flows
Maintain internal administrative systems and documentation, including client and vendor records
Support leadership with scheduling, reporting, and file management
Assist with onboarding contractors or employees as needed, including coordination with HR or legal advisors
Prepare summaries, memos, and reports from meetings or legal correspondence
Required Qualifications
Bachelor’s degree in Accounting, Finance, or a related field
2–4 years of experience in an administrative or finance support role
Experience with payment reconciliation and working knowledge of accounting processes
Strong organizational and time-management skills
Professional communication style and excellent attention to detail
Ability to work independently and handle sensitive information with discretion
Preferred Qualifications
Experience working with legal teams, law firms, or contract coordination
Familiarity with HR processes, including onboarding and personnel file management
Previous experience in a tech, healthcare, or startup environment
Comfortable using Google Workspace, cloud-based documentation systems, and financial tools like Xero.
