The Opportunity: Part-time Administrative & Data Systems Coordinator

(.5 FTE = 20 hours)

Who you are and what you’ll do:

We’re looking for a proactive and detail-oriented Administrative/Systems Coordinator who thrives in a collaborative, fast-paced environment. This friendly and composed professional will serve as the welcoming face of Tremont School, demonstrating strong communication, organizational, and time-management skills. A self-starter who listens closely and follows through reliably, the ideal candidate will support data integrity and oversee systems and strategies that enhance student records, enrollment, advancement, and communications operations, while staying current with industry best practices.

Under the direction of the Director of Finance and Operations, the Administrative/Systems Coordinator will perform the following:

Administrative/Front Desk Responsibilities:

Daily updates and reporting on student attendance, late arrivals, dismissals
Visitor sign-in/sign-out
Work with faculty to plan the operations side of school field trips
In collaboration with leadership team and communications committee, help facilitate internal and external communication, including general inquiries, answering phones, and other necessary logistics
Stay informed about school events, policies, and daily operations so that you might answer questions and help facilitate operations, update calendars, etc.
Facilitate ordering of supplies for faculty and staff, as well as office supplies
In collaboration with learning support staff and the Program DIrector, maintain student information including schedules, transcripts, quarterly progress reports, and attendance records and responding to requests for information in a timely manner
In collaboration with the Director of Finance and Operations, process and ensure the proper documentation of invoices and bills as well as receipt of payments collected at the front desk.
Manage deliveries, machines, and phone systems

Data/Systems Responsibilities:

Ensure data integrity and security via the daily operation and maintenance of the data in Blackbaud and Google.
Provide data and administrative support for Enrollment, Advancement and Marketing/Communications by managing the School’s data systems, including all Blackbaud products such as CORE, RE NXT, Constant Contact and the Google Suite.
Collaborate with the Director of Enrollment to help streamline and automate routine tasks associated with the enrollment process.
Collaborate with school leadership to understand and monitor the flow of data between our data systems.
Perform regular database clean-up and record updates for all constituencies.

Required skills and qualifications

The desire to contribute to a small, dynamic school
Excellent written and verbal communication skills
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
Preferred expertise in Blackbaud, Raiser’s Edge, GoogleSuite and email/social media marketing platforms such as Constant Contact
Proficiency with office productivity tools and an aptitude for learning new software and systems
Flexible team player, willing to adapt to changes and unafraid of challenges
Ability to maintain confidentiality of information
