Job Description: AGW is currently seeking a Senior Administrative Assistant with a strong focus on attention to detail and office practices.
This is a full-time position (hours 7:30 am to 4:30 pm) where some overtime may be required. We offer a relaxed pleasant work environment.
We are conveniently located off of Hampden and Zuni in Englewood, Colorado.
The Senior Administrative Assistant types and processes correspondence, compiles reports, and attends departmental meetings as directed. As Executive Assistant, this person works on special projects as directed by the President and other Principal Owners.
Education/Experience:
Bachelor’s Degree and/or at least five (5) to ten (10) years office related experience.
Essential Responsibilities:
Administrative Assistant
Type, edit, format all documents for Soils, Pavement, and Laboratory departments.
Type all Soils proposals.
Type general office documents (memos, letters, reports, special labels, etc.) as directed.
Type Field and or Residential documents, as needed.
Attend department meetings as directed.
Process PDF files from scanner.
Maintain printers, including: loading paper, arranging for service, maintaining service record, changing toner.
Assist department Engineers with special projects.
Create written instructions relating to office procedures for training purposes.
Train new personnel in office procedures, documentation, typing formats and on the operation of office equipment.
Assist co-workers with word processing and/or basic computer problems.
Research archives for all departments, retrieve documents, re-format (as necessary), print, and distribute.
Invoicing, data entry and uploading files
Executive Assistant
Maintain Master file, including: all masters for departmental typists, all fee schedules, Lab AASHTO-CCRL Quality System Manual, Highway department manuals, AGW Resumes, SOQs, and AGW information.
Type, format, distribute all Forms and maintain MasterForms
Archive files off of network, create labels, distribute.
Research archives for documentation relating to legal issues, retrieve, reformat (if necessary), print and organize.
Compile and maintain spreadsheet detailing status of legal issues
Attend meetings, take minutes, and summarize content of meeting.
Other specific tasks requiring access to Master directory (standard paragraphs for reports, letters, proposals, special forms for Human Relations, Safety, Environmental, Lab, Pavement, Residential, etc.)
Perform special projects as directed by President.
Required Skills:
Knowledge of basic Windows, Microsoft Word, and Microsoft Excel.
Familiar with the operation of basic office equipment, including copiers, and printers.
Knows basic format for business letters.
Accurate and clear oral and written communication skills.
Detail oriented.
Accurate typing skills.
Ability to read and/or listen to, and understand instructions.
Ability to read, understand, and edit documents for grammar.
Ability to multi-task.
Ability to work independently and efficiently.
Ability to set priorities and practice time management.
Able to assess and problem solve situations related to office procedures.
Able to maintain confidentiality with sensitive issues.

Wage range: Wage range $25.00 to $28.00 an hour depending on experience.
