ABOUT THE JOB

As an Administrative Assistant, you will play a vital role in ensuring the efficient day-to-day operations of the office. Your responsibilities will include general office administration, managing phone and email communications, scheduling meetings, handling client follow-ups, and providing front-desk reception support. You will also assist colleagues with a variety of ad hoc tasks as needed. This role requires exceptional organizational skills, strong attention to detail, and the ability to manage multiple tasks simultaneously in a dynamic environment.

YOUR RESPONSIBILITIES

Provide comprehensive administrative support to the team to ensure smooth daily operations

Assist with client coordination, including scheduling appointments and managing calendars

Handle incoming communications – emails, phone calls, and messages – with professionalism and promptness

Support colleagues in managing client communications and requests to ensure deadlines and service standards are met

Perform accurate and efficient data entry as needed

Maintain well-organized physical and digital records and filing systems

Coordinate client visits and assist with various ad hoc administrative tasks as required

Arrange travel and accommodation for directors, ensuring all logistics are handled efficiently

REQUIREMENTS

Minimum 2 years of experience in office administration or a similar clerical role

Strong organizational and time management skills with the ability to prioritize effectively

Excellent written and verbal communication, along with strong interpersonal skills

High attention to detail and accuracy

Ability to work independently and collaboratively within a team.

Ability to work under pressure and with tight deadlines.

Proactive and solution-oriented approach to problem-solving

Professional and courteous in greeting and assisting visitors

Proficient in Microsoft Office, especially Outlook and PowerPoint
