Introduction: Chicago Apartment Place, Inc. is a property management company located in the Lakeview area on the north side of Chicago. We are looking for an experienced Office Assistant to join the maintenance team within our company on a temporary basis. The position will pay $20/hour, based on experience and qualifications.

Summary: The Office Assistant for the Maintenance Department is responsible for administrative duties of the department including tenant communication, work scheduling, data entry management, and inventory control while also providing secretarial, clerical, and administrative support to the head of the department.

Duration: SEASONAL/ Temporary

This position runs approximately from March to September.

Job Description: The Seasonal Office Assistant will be required to provide support to the Maintenance Department.

Work Schedule: 25 Hours per week, Monday to Friday 9 am to 2 pm. Monday and Tuesday workdays are mandatory. Additional hours will be required on the first day and the last day of each month with all hours subject to change.

Duties and Responsibilities:

Greet visitors in a friendly and courteous manner at all times;
Answer and respond to phone calls and emails;
Assist with the scheduling and tracking of our in-house maintenance crew;
Alert tenants of scheduled repairs and follow up with them;
Assist with our move-out and move-in procedures and inspections;
Assist with the inspection of properties and apartments for rent;
Prepare and organize keys for vendors and tenants and track in key log;
Help with online researching and ordering of parts;
Help with inventory control and tracking;
Receive, record, and organize shipments;
General office tasks such as data entry, filing, scanning, and organizing; and
Perform other tasks and run errands as needed.

Work Environment:

Open loft office environment where problem-solving takes place on a regular basis in collaboration with other departments. Noise level in the office may range from moderate to loud.
This position is fully in office and is not remote. General office and administrative support duties will occur at our main office in the Lakeview area in Chicago. Other duties such as walkthroughs of apartments with tenants, and other assignments, may occur outside of the office, generally at the various properties under our management.

Qualifications:

Ability to contribute and work successfully in a team environment;
Ability to communicate effectively both orally and in writing;
Must have good customer relation skills and ability to interact with the general public;
Ability to tolerate moderate to high stress situations while remaining cordial and focused;
Strong attention to detail, accuracy, and thoroughness in all work;
Strong typing skills and the ability to manage large volumes of data accurately and efficiently;
Excellent written skills to independently compose general correspondence, documents, etc.;
Strong technical skills with an ability to learn and work with a variety of software;
Highly proficient in Microsoft Office; and
Experience handling a large volume of calls and emails.

Essential Job Requirements:

During the rental season (April 30 to September 1), for purposes of managing apartment turnovers, must have the ability to work evening hours on the last day of the month and work Saturday or Sunday if the last or first day of the month falls on a weekend;
Ability to perform site visits and run errands which may require travel outside of the office, street parking, going up and down stairs, and being exposed to construction work and varying weather conditions;
Must have a reliable vehicle for use during all work hours, valid driver’s license, auto insurance and a cell phone;
Must be able to operate all office equipment including computers, printers, check scanner, key cutting machine, and others as needed;
Neat, clean, and professional throughout the workday including whenever on any of the properties under management, while representing the company, and at company events; and
Must treat all persons with integrity, kindness, and respect.

Education and Experience:

Proficiency with computers and Microsoft Office software; and
1-3 years of administrative experience preferred.
