Role Description

We are looking for a proactive and detail-oriented candidate to support the Founder & CEO of one of our SG based clients, in daily operations, communication, and coordination.

This is a high-learning, high-growth role ideal for someone who wants to develop into a strong Executive Assistant. You will work closely with the Founder, supporting meetings, follow-ups, proposals, and marketing initiatives. The role requires someone who is organized, responsive, and willing to learn quickly, with the ability to manage multiple tasks and communicate professionally in a fast-paced environment. This is a remote role, however the candidate is required to be in office, once a month and/or when the CEO is visiting Manila, usually once a month, and work side by side during her stay here in Manila.

Key Responsibilities

1. Daily Founder Support

• Provide daily morning updates on pending tasks, priorities, and follow-ups

• Track action items and ensure timely completion

• Assist with calendar coordination and reminders

2. Meeting & Communication Support

• Join virtual meetings with the Founder and take clear, structured notes

• Prepare meeting summaries, action points, and follow-ups

• Ensure all key discussions are documented and tracked

3. Proposal & Email Support

• Draft and send proposal emails and follow-ups after meetings

• Assist in preparing proposals, presentations, and business documents

• Learn how to structure and develop proposals aligned with business requirements

4. Marketing & Content Support

• Assist with editing brochures, decks, and marketing materials

• Support content writing for emails, LinkedIn, and social media

• Help manage and maintain social media platforms

5. Tools & Execution

• Use tools like Canva and basic Adobe tools for editing and design support

• Leverage AI tools (ChatGPT, etc.) for content creation and productivity

• Maintain organized files, trackers, and documentation systems

Required Skills & Experience

• 1–3 years experience as an Executive Assistant, Virtual Assistant, or similar role

• Strong written and spoken English communication

• Good organizational and time management skills

• Basic experience with Canva and document creation

• Familiarity with or willingness to learn AI tools

• Ability to work independently while following structured guidance

Qualifications

  • Proficiency in administrative tasks such as scheduling, organizing documents, and office management

  • Strong written and verbal communication skills
  • Attention to detail and accuracy in record-keeping
  • Excellent organizational and time management skills to handle multiple tasks efficiently
  • Problem-solving skills and the ability to work independently
  • Experience in customer service or dealing with external/internal stakeholders is a plus
  • Knowledge of basic accounting or financial management is advantageous
  • Bachelor’s degree in Business Administration, Communication, or a related field is preferred
