We’re looking for an experienced and highly organized Operations Administrator to be the engine that keeps communication, coordination, and production moving smoothly. From managing customer expectations to supporting internal departments, you’ll play a vital role in ensuring every project is completed accurately, on time, and with care.

What You’ll Do

Customer Support & Coordination

Serve as the primary point of contact for customers once a job is sold
Provide order updates, schedule confirmations, and project timelines
Handle customer complaints or concerns with professionalism and urgency
Maintain clear, consistent communication throughout the job lifecycle

Internal Team Collaboration

Work closely with the production team to coordinate job timelines and materials
Collaborate with the sales team to confirm accurate contract details and job specs
Interface with the executive team to report progress, escalate issues, and ensure smooth operational flow
Track project statuses and flag any delays or issues to the appropriate teams

Administrative Operations

Update and maintain all customer and job data in the CRM
Scan, upload, and organize all documents: contracts, permits, receipts, etc.
Check contracts for accuracy and completeness prior to processing
Assist with office filing, reports, and daily administrative support tasks

Accounting & Reporting Support

Process financing paperwork, payments, and basic accounting entries
Assist with accounts payable and receivable
Support payroll coordination and file management
Generate reports as needed to support operations and leadership

What We’re Looking For

2+ years in operations, customer service, or administrative support
Proven ability to manage communication between customers and internal teams
Strong organizational and multitasking abilities
Confident using CRM platforms, spreadsheets, and scanning tools
Experience with QuickBooks and Microsoft Excel preferred
Calm under pressure, proactive by nature, and solutions-focused
