Mission:
The Administrative Assistant will provide comprehensive administrative support and act as a key point of contact between the organization and external entities, including government authorities and service providers. This role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.
ACTIVITIES
Administrative Support: Manage office tasks like filing, data entry, correspondence, recordkeeping, meeting/travel coordination, and procurement (stationery, housekeeping, etc.). Oversee couriers, forex, ID cards, and badge management. Maintain office facilities, common areas, and utilities (internet, phone lines, etc.).
Liaisoning: Coordinate with government agencies, banks, and service providers for permits, licenses, and approvals. Handle documentation and renewals.
Coordination: Ensure smooth communication across departments, support onboarding (HR), IT, finance, and event organization. Manage vendor relationships and office branding.
HR Assistance: Assist in maintaining employee records, preparing offer letters, and handling documentation for onboarding/offboarding. Support recruitment scheduling and coordinate employee welfare activities.
Health & Safety: Implement health and safety policies, ensure compliance, conduct drills, and provide safety training.
Customer Service: Address inquiries from staff, clients, and external parties professionally.
Compliance: Ensure regulatory and policy compliance while maintaining confidentiality.
Maintenance: Oversee building maintenance, repairs, and inspections (e.g., HVAC, plumbing, safety equipment, CCTV, UPS).
JOB EXPERIENCE:
Minimum of 2 years of experience in an administrative role and in HR activities
Knowledge of local government regulations and procedures in Dubai.
KNOWLEDGE & SKILLS
Bachelor’s degree in Business Administration, Public Relations, or a related field.
Excellent organizational and multitasking skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite.
Ability to work independently and as part of a team.
Fluency in English and Arabic.
Working Conditions:
This position may require occasional evening and weekend work.
The role involves working in an office environment with regular interactions with external parties.
