Position Overview:
The Office Assistant in the Airport Operations Department plays a key role in supporting the daily administrative functions of the department. This individual will provide clerical and organizational assistance, ensuring the smooth operation of airport services. The ideal candidate will be detail-oriented, adaptable, and able to handle multiple tasks in a fast-paced, dynamic airport environment.
Key Responsibilities:
Administrative Support: Provide general office support by answering phones, managing correspondence, and directing inquiries to appropriate staff members.
Documentation & Reporting: Assist in preparing, organizing, and filing operational reports, maintenance logs, and other records related to airport operations.
Scheduling & Coordination: Help schedule meetings, briefings, and coordination of resources, including arranging appointments for staff and stakeholders.
Data Entry & Management: Enter, update, and maintain databases related to airport operations, maintenance schedules, and regulatory compliance.
Procurement & Supplies: Monitor inventory levels of office supplies, place orders, and ensure timely delivery and stock management.
Customer Service: Provide assistance to airport personnel, airlines, tenants, and other partners as needed, directing them to the correct point of contact or resource.
Compliance & Safety: Ensure that all documentation and operational activities are in compliance with airport safety protocols and regulatory requirements.
Event & Incident Coordination: Assist with event coordination and provide administrative support during airport incidents, operational meetings, or drills.
Requirements:
Qualifications:
Education: High school diploma or equivalent required. Associate’s degree in business
administration, aviation management, or a related field preferred.
Experience: One (1) year of office administration or clerical experience preferred.
Skills:
Strong organizational and time-management skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent communication skills, both written and verbal.
Ability to prioritize tasks in a fast-paced, high-pressure environment.
Attention to detail with a high degree of accuracy.
Other Requirements:
Ability to maintain confidentiality and handle sensitive information.
A proactive and customer-service-oriented attitude.
Familiarity with airport operations or aviation-related terminology is a plus.
Must be able to pass a background check and obtain necessary security clearance.
Physical Requirements:
Ability to sit or stand for extended periods.
Occasional lifting of office supplies or materials (up to 25 lbs).
