Responsibilities:

Support department leadership and staff through performance of administrative functions including telephone and receptionist duties for the office, project support, meeting and event planning, travel arrangements, etc.

Answer incoming calls, route to appropriate personnel, record messages and retrieve all voicemails.

Open and sort all office mail; route outgoing mail; acknowledges receipt of packages and special deliveries for office.

Organize meetings, prepare meeting materials, revise and proofread for accuracy prior to distribution. Compose drafts for weekly agendas and other documents as requested. Compose and edit letters, memos, and other correspondence.

Coordinate travel arrangements: lodging, flight, transportation, event registration, etc.

Prepare expense reports. Track vendor payments, monitor check distribution and maintain detailed records.

Prepare payment for incoming invoices, subscriptions, supply orders, etc.

Create PowerPoint presentations, spreadsheets as needed for various projects or events.

Requirements:

Associate’s Degree in secretarial science or business

2+ years of experience in office/secretarial work

Knowledge of MS Office Suite (Outlook, Word, Excel, Publisher, PowerPoint, etc)

Ability to excel in deadline-driven, high-volume environments

Ability to easily grasp complex situations

Schedule/Location:Mon-Fri, 9am-5pm; Hybrid – In office 3 days
