Job Overview

We are seeking a highly self-motivated and proactive Administrative Assistant to support our leadership team and ensure smooth day-to-day operations. Administrative Assistant Key Responsibilities

Administrative & Executive Support

Manage calendars and scheduling for Leadership and office-wide activities.
Act as the first point of contact for calls, emails, and general office inquiries.
Handle scanning, printing, document preparation, and correspondence.

Office Management

Maintain office efficiency by managing supplies, coordinating with the landlord, and overseeing general office upkeep.
Organize team events, social gatherings, and lunch & learns.
Oversee incoming and outgoing mail, packages, and deliveries.

Reporting & Documentation

Create and maintain spreadsheets for tracking and reporting purposes.
Assist with drafting, organizing, and maintaining contracts, proposals, and office documents.
Generate reports related to office operations and functions.

Bookkeeping & Financial Support (in coordination with the accountant)

Interface with external bookkeeping team to assist with invoice and expense tracking

Administrative Assistant Qualifications & Requirements

Education: Associate’s or Bachelor’s degree preferred.
Experience: Minimum 2 years in an administrative, executive assistant, or office management role.
Skills: Strong organizational, multitasking, and problem-solving abilities.
Communication: Excellent written and verbal communication skills.
Technical Knowledge: Familiarity with basic accounting and IT systems is a plus.

Software Proficiency

Microsoft Office Suite (Excel, Word, PowerPoint)
Outlook & Calendar Management
Microsoft Teams / Zoom (or similar communication platforms)
Bonus: Experience with project management tools

Work Environment & Compensation

Work Setup: This position is in-office, with occasional remote work flexibility as needed.
Salary Range: $50,000 – $60,000 (commensurate with experience)
