Position Summary
Responsible to an Assistant Vice President. Performs secretarial and administrative functions for the department at an intermediate level. Accountabilities include working on special projects, reports, committee agendas, statistical reports, committee minutes, work/travel schedules, drafting communications, distribution of correspondence, data processing, fielding telephone calls, receiving and directing visitors, and coordinating meetings or events. Manages and coordinates office functions by maintaining office supplies, organizing office systems, arranging repair of equipment, etc. Must effectively interact with patients, physicians, vendors, and employees. He/she also performs a variety of duties such as: inventory management, bookkeeping, organization of staff information-including updating and organizing information in the staff personnel files, scheduling/coordinating work within department and with other departments, providing receptionist duties when appropriate, and responding to inquiries and requests for information by patients, physicians, vendors, and employees. Duties may also include daily activities and projects involving systems maintenance and human resources functions. Performs other duties as assigned.

Administrative Assistant
Actively participates in team development, achieving dashboards, and in accomplishing department goals and objectives.
Provides administrative support at an intermediate level to an Assistant Vice President.
Manages the office mail, phone, supplies and outgoing communications and other documents as required. Prioritizes activities on a daily basis. Forward voice mail from the general mailbox to the appropriate staff member. Sort incoming mail, faxes, and courier deliveries for distribution.
Routinely uses discretion an independent judgment to resolve situations involving customers, vendors, and employees, such as complaints, inquiries, attendance, scheduling and organizational policies. Maintains confidentiality and privacy; adheres to HIPPA standards.
Assist LRH employees with building and/or parking access as approved. Assist with the coordination of on-site parking and nearby parking and or private parking spaces.
Schedule and organizes complex activities such as meetings, travel, conferences, and departmental activities. Serves as point of contact for project that may involve event coordination, guest registration, mass communications, or providing any additional services as needed.
Purchase, receive, and store the office supplies ensuring that basic supplies are always available.
Update and ensure the accuracy of the departmental databases.
Participates in professional development activities as directed to maintain knowledge of current trends and practices in the health care environment.
Functions as a designated timekeeper and processes payroll for the department and other assigned departments.
Competencies & Skills
Essential:
Knowledge of department-specific terminology, policies and procedures.
Ability to prioritize and organize workload, meet deadlines, work independently and interdependently within a team.
Ability to type 60 wpm.
Strong interpersonal and communication skills (verbal and written), basic analytical skills, sound judgement, work effectively under stress.
Working knowledge of phone system, teleconferencing, word processing, personal computers and software including; Windows operating systems, Microsoft Office Suite, specifically Word, Power Point & Excel, Email.

Other information:
Essential Experience:
One to three years of Administrative Secretary experience.
Preferred Experience:
One to three years’ experience at Lakeland Regional Health as an Administrative Secretary.
