Our hiring manager is looking for a highly skilled administrative assistant. Preferably someone from the wine industry. Our ideal candidate will have experience with calendaring and supporting managers or owners in past roles. We are looking for someone with longevity in their past roles. Someone with a friendly personality and go-getter attitude. Ideally we would want a candidate for the long hall for a contract to permanent basis.

Pay $28-$30/hr.

Fulltime- Mon-Fri 8am-5pm

Location: Livermore

Key Responsibilities:

Calendar and Scheduling Management: Coordinate and manage the owner’s calendar by scheduling meetings, appointments, and travel arrangements, ensuring optimal time management.

Communication Support: Handle email correspondence, screen calls, and draft professional responses on behalf of the owner, ensuring clear and timely communication.

Administrative Tasks: Prepare reports, presentations, and documents as requested by the owner. Maintain accurate filing systems (digital and physical) for easy access to information.

Meeting Coordination: Assist in preparing agendas, taking meeting notes, and following up on action items to ensure tasks are completed in a timely manner.

Travel Planning: Research and book travel arrangements, accommodations, and itineraries for business trips, ensuring all logistics are aligned with the owner’s schedule.

Project Assistance: Support the owner with various projects by conducting research, organizing data, and coordinating with team members as needed.

Office Management: Maintain an organized office environment by managing supplies, liaising with vendors, and addressing any operational needs.

Personal Support: Occasionally assist with personal tasks, including handling errands, event planning, or other duties as required.

Confidentiality: Handle sensitive information with discretion and maintain a high level of professionalism at all times.

Qualifications:

Proven experience as an Administrative Assistant, Executive Assistant, or in a similar role.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.

Excellent organizational and time management skills, with the ability to prioritize tasks effectively.

Strong written and verbal communication skills.

Ability to work independently, take initiative, and anticipate the owner’s needs.

High level of discretion and confidentiality.
