Position Overview:
This position is internally classified as an Administrative Support Specialist. It provides operational support to the Soils & Inspections team by serving as the primary point of contact for incoming client inquiries and providing administrative support for the day-to-day operations of the inspections field staff. This role plays a vital part in maintaining communication flow, project organization, and operational efficiency. The ideal candidate is customer-focused, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment.
Primary Responsibilities:
- Answer the main phone line and assist clients with questions, scheduling needs, and general inquiries
- Provide support to the Soils & Inspections Administrator and the inspections field staff
- Prepare monthly performance tracking reports
- Complete accurate and timely data entry of new inspection client information
- Create project invoices and assist with collection efforts for past-due balances
- Serve as the lead backup for inspection scheduling activities
- Serve as the lead backup for soils contract preparation, processing, and scheduling
- Support other administrative staff with general office needs and cross-functional initiatives as needed
Candidate Requirements:
· 2+ years of administrative support experience
·Strong customer service experience, including communicating professionally with clients by phone and email
· Proven ability to maintain accuracy while managing multiple tasks and deadlines
· Experience creating efficiencies, organizing workflows, and ensuring timely completion of deliverables
· Tech savviness, with experience in the Microsoft Office suite of products, including Excel, Outlook, Word, and Lists.
· Experience working with (or willingness and confidence in learning) QuickBooks.

This is a full time position (40 hours per week, Monday – Friday). Starting salary is $40,000-$43,000, based on experience, and includes a full benefits package including but not limited to personal leave, sick leave, company holidays, and employer-paid health insurance, dental insurance, vision insurance, and retirement plan.
Pay: $40,000.00 – $43,000.00 per year
