We are seeking a dedicated and proactive Administrative Assistant to support the owner and sales team. This role will primarily involve managing schedules, booking appointments for salespeople, and registering warranties for new equipment. The ideal candidate will be responsible for providing exceptional customer service, answering phones, and ensuring smooth communication between internal teams and clients. With approximately 50% of the role focused on phone-based communication, the Administrative Assistant will play a key part in coordinating appointments, handling customer inquiries, and maintaining efficient office operations. Strong organizational skills, attention to detail, and a customer-focused attitude are essential for success in this position.
Work Hours: 8:00 am to 5:00 pm, Monday through Friday, with occasional overtime as required
Pay Scale: $23 – $27 per hour depending on experience + Benefits

Required Qualifications:
HS diploma, GED, or equivalent
Minimum two years of administrative or customer service experience in the office setting
Scheduling experience is highly desirable
Strong attention to detail & ability to prioritize
Strong multitasking & problem-solving skills
Clear & professional communication
Intermediate computer skills (proficiency with MS Word, Excel, Outlook)
Experience with Service Titan software is a plus
Typing speed of 40 wpm or higher is preferred
Job Duties:
Managing a multi-line phone system, ensuring efficient and timely call handling.
Coordinating and scheduling estimate appointments for customers.
Preparing customer estimates as needed.
Responding to customer inquiries and providing accurate information.
Collaborating closely with service technicians and sales personnel to ensure seamless operations.
Registering equipment warranties on behalf of customers.
Submitting customer rebate claims upon job completion.
Effectively communicating with customers to address and resolve their concerns.
Distributing purchase orders to technicians and supply houses in a timely manner.
Coordinating van service and repair schedules.
Managing various filing tasks to maintain organized records.
Ordering and maintaining office supply inventory.
Performing additional duties as required to support overall operations.
