About the Role
We are seeking a detail-oriented Grants Program Coordinator / Administrative Specialist to support the administration of childcare grant funding programs across Alberta.
This role focuses on grant evaluation, program coordination, stakeholder support, and data/reporting activities, ensuring compliance with policies while delivering high-quality service to childcare providers, educators, and families.
Key Responsibilities
Grant Assessment & Financial Oversight
• Evaluate and determine eligibility for childcare grant funding
• Review applications, supporting documents, and recommend funding decisions
• Identify payment or delivery issues and propose resolution strategies
• Ensure compliance with financial policies, legislation, and program guidelines
Program Administration & Stakeholder Support
• Provide support and guidance to childcare operators, educators, and families
• Assist users in navigating the ECDS portal and grant processes
• Manage shared inboxes and respond to queries, requests, and complaints
• Perform data entry, tracking, and reporting related to funding programs
• Generate reports and support program operations and decision-making
Policy, Process Improvement & Research
• Support development and enhancement of policies and procedures
• Interpret program guidelines and provide operational recommendations
• Conduct research and contribute to briefing notes and program improvements
• Identify system issues (CCIS, ECDS, databases) and recommend enhancements
Complaint Management
• Investigate and respond to grant-related complaints and inquiries
• Collaborate with internal teams to ensure timely resolution
• Escalate complex issues and support formal resolution processes
Team & Operational Support
• Assist with training new team members
• Coordinate administrative activities and support cross-functional teams
• Contribute to a collaborative and service-oriented work environment
Mandatory Skills & Qualifications
• High School Diploma / GED required
• 10+ years of experience in administrative or program coordination roles
• Strong experience with Microsoft Office Suite
• Excellent communication and stakeholder interaction skills
• Strong organizational skills with ability to manage multiple priorities
• High attention to detail and data accuracy
• Proven ability to provide clear and timely information to diverse stakeholders
Preferred Skills
• Experience working with childcare grant programs in Alberta
• Familiarity with Child Care Information System (CCIS) and ECDS portal
• Experience with CXone or similar systems
• Experience in data validation, reporting, and database testing
• Exposure to public sector or government program delivery
Additional Requirements
• Must be located in Alberta (mandatory)
• Work must be performed within Alberta due to compliance requirements
• Subject to criminal background check clearance
• Must complete mandatory training including FOIP, Cybersecurity, and Workplace policies
