Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support daily business operations and leadership activities. This role is critical in ensuring smooth coordination across teams, maintaining schedules, and managing logistics with a high level of precision and professionalism.

Key Responsibilities
- Calendar & Scheduling Management
- Manage complex calendars, including scheduling meetings across multiple time zones
- Coordinate internal and external meetings, ensuring alignment of availability and priorities
- Proactively resolve scheduling conflicts and optimize time management
- Travel Coordination
- Arrange and manage domestic and international travel logistics
- Coordinate flights, accommodations, transportation, and itineraries
- Ensure all travel plans are organized, communicated, and compliant with company policies
- Meeting & Workshop Coordination
- Organize meetings, workshops, and events end-to-end
- Prepare agendas, materials, and follow-up communication
- Support logistics such as booking rooms, coordinating attendees, and managing schedules
- Team & Stakeholder Coordination
- Act as a central point of coordination across teams
- Facilitate communication between stakeholders to ensure alignment
- Support team organization and operational efficiency
- Administrative Support
- Maintain organized records and documentation
- Assist with reporting, presentations, and general administrative tasks as needed
- Handle confidential information with professionalism and discretion
Qualifications & Requirements
- Experience
- Minimum of 5 years of experience in an administrative or executive support role
- Core Skills
- Exceptional organizational and time management skills
- Strong ability to manage complex scheduling
- Experience coordinating travel arrangements (local and international)
- Proven track record in meeting and event coordination
- People & Communication Skills
- Excellent interpersonal and communication skills
