Description of Work
The NC State Health Plan is hiring an Administrative Coordinator that will provide high-level administrative support to the Division Leadership Team to include coordinating larger meetings; processing and routing checks received; routing agency invoices in Docu- Sign and representing the division and department to external stakeholders, including Plan members. This is a full-time position (40 hours per week) with State Benefits, including health insurance, paid vacation, paid sick time, paid holidays, as well as retirement.
This position has been designated as Exempt in accordance with North Carolina General Statute § 126-5.
About the State Health Plan
The North Carolina State Health Plan for Teachers and State Employees, a division of the Department of State Treasurer, provides health care coverage to more than 740,000 teachers and local school personnel, state employees, retirees, current and former lawmakers, state university and community college faculty and staff, and their dependents.
The SHP Administrative Coordinator’s responsibilities include maintaining logs, preparing dashboards and reports, routing documents for signatures and approvals, drafting and mailing correspondence, formatting documents, assisting with the collection of documents for Public Records Requests, and other duties as assigned. The Administrative Coordinator role will have primary responsibility for the following targeted tasks such as managing the Plan’s use of state cars, serving as the telephone liaison, handling procurement of office supplies and Docu-Sign managing the process. The Administrative Coordinator will also serve as a Notary Public for not only the Plan but also the Department and will assist the Executive Assistant as needed.
Job Duties
Draft, format, review and mail correspondence.
Assist with the collection of documents for Public Records Requests as needed.
Receive documentation and organize case files, which includes copying, filing, scanning Route documents for signatures and approvals.
Schedule meetings, answer phones, coordinating with stakeholders.
Maintaining logs, preparing dashboards and reports.
Process and reconcile invoices, perform purchasing activities, maintain supply inventory.
Coordinate and produce individual letters and mass mailings as needed, remaining cognizant of PHI and HIPAA compliance.
Assist with staff travel coordination and process reimbursements according to state and agency rules and regulations State Car Management.
Order office supplies for staff and division use Manage incoming invoices to SHP, route appropriately and track progress on log Receive product(s) into eProcurement Docu-Sign Router (primary).

Management Preference
Bachelor’s degree from an appropriately accredited institution.
Experience with North Carolina e-Procurement.
Registration as a North Carolina Notary Public.
Minimum Education and Experience Requirements

High school diploma or General Education Development (GED) diploma and six (6) years of related administrative experience; or equivalent combination of education and experience.
