Position Summary:
Under the direction of the Chief Operations Officer, the Executive Assistant will play a key role in the organization and daily operations of the clinic. This position requires flexibility, problem solving, and attention to detail and high quality work. Engage in duties and responsibilities that directly relate to the management and general business operations.
Essential Duties and Responsibilities:
Administration:
Maintain files
Arrange meetings and travel plans
Retrieve messages daily
Room reservations
Organize office
Compose and prepare confidential correspondence, reports, and other complex documents.
Directs preparation, completion and submission of reports timely to external agencies (city, state, federal, private, etc.) to conform to statutes.
Miscellaneous research as required and requested.
Oversee assigned projects and programs.
Update and maintain policies and procedures manual.
Coordinate internal and external communications, including taking minutes at selected meetings and distributing minutes.
Oversee patient grievances, receive and investigate complaints, and reports to the COO.
Creates and ensures all required departmental reports are completed on time.
Receive and screen communications and provide assistance using independent judgment to determine those communications requiring priority attention; prioritize, channel, and facilitate communication from internal and external sources.
Assist other executives and managers with administrative duties and projects as needed.
Other duties as assigned.
Additional Responsibilities
Ensure compliance with policies and procedures and regulatory agencies rules and regulations.
Promotes positive working relationships with community agencies and with other departments.
Establish and maintain courteous, cooperative relationships with staff, volunteers and the public, portraying the mission of the clinic.
Promotes delivery of quality patient care.
Qualifications and Experience Required:Job Type: Full-time
High school diploma or GED (preferred 2 years of college).
A valid California Driver’s license, and access to insured automobile.
Flexible, mature individual who is capable of decision making and problem solving.
Excellent oral and written communication skills
Excellent organizational skills
Computer proficiency
Ability to interface effectively with all organizational levels and work independently
Ability to work with people of diverse cultural, educational, social, and economic backgrounds
Ability to work with all levels of management.
Ability to manage multiple projects simultaneously.
Ability to track details with accuracy
Completes work on time with quality results
Provide strong customer service to staff and community.
Basic understanding of financial/budgeting process.
Experience working with non-profit agencies and local community-based organizations is preferred
Job Type: Full-time
Pay: $60,000.00 – $75,000.00 per year
