Administrative Assistant/Dispatcher

JOB SUMMARY

The Administrative Assistant/Dispatcher performs advanced and diversified clerical duties requiring a comprehensive level of experience in addition to responding to emergency and non-emergency calls and for dispatching departmental personnel as appropriate.

MAJOR DUTIES

Performs and completes tasks and assignments associated with personnel support functions for assigned organizational unit or program, (purchase orders, travel arrangements, expense statements, etc.);
Provides support to administrative staff;
Maintains Georgia Crime Information Center (GCIC): CJIS Network Operator certification, Local Agency Security Officer (LASO) certification, and Terminal Agency Coordinator (TAC) certification;
Maintains Georgia Notary Public certification;
Monitors and responds to all radio traffic and computer calls immediately, including emergency and non-emergency calls;
Dispatches officers and other responders to calls for service;
Prints incident and accident reports;
Maintains record of citation and tickets issued;
Creates case files;
Logs all activity and pertinent information regarding responses;
Communicates with officers on patrol;
Completes complex processing of documents and/or transaction for assigned organizational unit, program and/or specialized function/activity;
Conducts research using a variety of sources to complete, prepare, assemble, process, and/or generate reports and other documentation, or to respond to inquiries, questions or requests;
Enters data from forms, records, reports, and/or other sources into computer for purposes such as maintaining databases;
Uses computer software as a tool for performing clerical assignments;
Monitors use of and maintains supplies, equipment and/or facilities for assigned work unit or program area;
Serves as a Campus Security Authority (CSA) as defined by The Clery Act, forwards reports of crimes to the Campus Police Department, and participates in annual CSA training;
Participates in assessment, planning, budgeting, and staff development;
Performs other duties as assigned.

COMPETENCIES

Skill in the use of computers and job related software programs
Knowledge of modern office practices and procedures
Ability to operate workroom machinery such as fax machines, copiers, scanners, shredders, etc.
Skill in interpersonal relations and in dealing with the public
Oral and written communication skills
Knowledge of college policies and procedures
Knowledge of federal, state, and local laws
Skill in the response to emergency situations

MINIMUM QUALIFICATIONS

Associate’s degree in Business Administrative Technology and One (1) year of work related experience

OR

High school diploma *and* Two (2) years related work experience

PREFERRED QUALIFICATIONS

In addition to the minimum qualifications:

Possess CJIS Network Operator certification
Possess Local Agency Security Officer (LASO) certification
Possess Terminal Agency Coordinator (TAC) certification
Proficient in all Microsoft Office software
