RVA is seeking an enthusiastic Administrative Assistant to join our London team for a one-year contract position.

Duties

  • Assist the Regional Manager with corporate projects, office management duties and marketing and business development activities.
  • Assist the Team Managers in the office with their team management duties and marketing and business development activities.
  • Assist Project Managers to manage and coordinate their projects in the areas of Quality Assurance, safety, client reporting and invoicing.
  • Prepare, format and edit correspondence and documentation including reports, proposals, specifications, tenders and other technical documents in compliance with AODA.
  • Track and coordinate corporate reporting documents including accounts receivable, contract agreements, invoices, and sub consultants.
  • Assist with public consultation including to coordinate, facilitate and conduct issuance of public notices to government agencies, public stakeholders, and politicians; including logging of responses and follow up.
  • Coordinate meetings, appointments, travel reservations and organize business trips for office staff.
  • Coordinate daily office operations and perform applicable tasks as appropriate, including receipt and distribution of courier and mail deliveries, greeting visitors, answering general office calls; and
  • Other duties as assigned and appropriate for this position.

Qualifications

  • Minimum college level diploma in Office Administration or similar post-secondary with an emphasis on writing and communication skills.
  • 3-5 years of experience in a similar role.
  • Superior written and oral communication skills in English.
  • Experience in the editing of technical documents is an asset.
  • Advanced knowledge of Excel, Word, PowerPoint and Outlook. Previous experience with MS Word Styles is required.
  • Experience in MS Project or other scheduling software is an asset.
  • Demonstrated ability to meet commitments in a tight deadline, multi-tasking environment.
  • Experience in a similar role is an asset.
  • Graphic Design knowledge/experience is an asset.
  • Must be professional, dependable, personable and flexible.
  • Self-starter with excellent organizational skills and attention to detail; and
  • Ability to handle confidential and sensitive information in an appropriate manner, eligibility for federal government security clearance would be an asset.

Compensation Range

The salary range for this position is: $55,000.00 – $65,000.00

Compensation for this role will be determined based on a variety of factors, including relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business needs.
