The Client
An established award winning Australian owned professional services firm located in the heart of Barangaroo is ready to hire an outstanding individual to join their Administration support team. You would be become part of a talented and fast paced, high performing team that provide the first line support to 12 managers within the firm.
Reporting to your allocated group of Managers this role will see you take accountability day to day for high volume diary management, daily client invoicing, scheduling meetings, greeting clients, taking all incoming calls, handling enquiries, generating reports in excel or PowerPoint and priotising urgent tasks including any urgent mail or emails that require urgent attention for the clients.
Key responsibilities of the role
Proactively manage diaries to align with executives’ priorities
Provide high-quality administrative support to managers and their teams
Handle all incoming calls, screening the calls and taking messages
Coordinate travel and meeting arrangements
Process all monthly billings
Meet and greet any clients coming into the office and offering refreshments
Booking meeting rooms for all internal meetings
Attending training and workshops each week
Assist with company, trust, and superfund setups
Prepare ASIC Annual Statements for clients
Manage client ATO correspondence and enquires for clients
Coordinate presentations for external client meetings
Undertake general administration tasks and ad hoc requests from the team
Who are we looking for?
You have just completed your HSC, or university degree or you have had up to 1 year work experience
You present yourself immaculately in business attire as this role will be client facing
You exhibit high standards, and have an ability to take initiative, in everything you do
You are a person that can take instructions once, ask questions if you don’t understand something and have an incredible attention to detail
You have an articulate speaking voice, polite and exudes a positive bright attitude
Demonstrated experience in meeting deadlines and prioritising tasks
Demonstrated experience in striving for results to gain the best outcome
Solid MS Office skills and any skills working with Xero is desirable
