EXECUTIVE ASSISTANT TO THE PRESIDENT
Position: Western Colorado University invites applications for the full-time position of Executive Assistant to the President. The position reports to the President and works closely with the Senior Leadership team.
Responsibilities: The Executive Assistant is responsible for managing the daily operations of the President’s Office. This includes supporting Board of Trustees meetings, campus event planning/execution, research and analysis on assigned topics and special project oversight.
Essential Functions: Manage the daily operations of the President’s Office. Independently develop solutions to issues, problems, and challenges that occur on a daily basis. Interact with the public and students and communicates the President’s perspective on matters of importance to the University, as appropriate. Provide administrative support, schedule appointments, arrange travel plans, maintain filing system, screen incoming calls, answer questions, draft correspondence for the President and work on various projects in conjunction with other departments. Exercise signature authority on budget accounts as assigned by the President to ensure proper expenditures.
Make arrangements and provide administrative support for the Board of Trustees meetings. Handle individual matters for the Trustees as requested and appropriate. Coordinate the compilation of Board meeting materials per project timeline templates, and manage and update the Board of Trustees web page, including the posting of meeting agendas and minutes.
Coordinate and/or assist in the planning and execution of major events on campus, including commencement ceremonies, convocations etc. Work with other offices on such matters as necessary.
Analyze, research, and prepare responses to requests for action relating to University policies, answer questions and make decisions when appropriate, provide information and action alternatives to the President for decisions as deemed appropriate. Screen issues to be brought before the President, research related policies or precedents and brief the President prior to scheduled meetings with those concerned.
Organize and prepare major projects, as assigned by the President, including research, analysis, development of drafts or assembly of background materials, as well as monitoring project status using independent thinking and exercising professional judgement.
Manage and supervise sensitive and/or legal/confidential materials related to the functions of the President’s Office. This includes reviewing, analyzing and comprehending these matters, dissemination of related materials and coordinating required actions utilizing correct protocol.
Coordinate Senior Cabinet/ Extended Cabinet meetings, provide calendaring assistance and information to other campus departments as requested, maintain agendas and flag action items for recurring meetings.
Minimum Qualifications: Bachelor’s Degree. Requires one-year prior work experience as an administrative assistant, an office assistant, a receptionist, or performing similar work in office setting. Expertise with Microsoft Office applications, including Word, Excel and Teams required. Excellent verbal and written communication skills.
Proven ability to work discreetly and manage sensitive information in a confidential manner.
Preferred Qualifications: Bachelor’s Degree plus five years’ administration experience. Knowledge of Zoom and Workday. Administrative assistant experience. Previous experience supporting a Board of Trustees, and/or experience supporting executives in a higher education setting.
Compensation: $60,000-$65,000. This position is FLSA exempt. Western offers an excellent benefits package including shared premiums for a comprehensive health insurance plan, dental insurance, retirement plan, life insurance, and other insurance options. After one year of employment, Western provides free tuition for dependents enrolled full time in undergraduate programs for up to four years.
