CVW Event Productions is seeking a full-time Administrative Assistant to work closely with the president of the company to perform a variety of administrative and clerical tasks. Administrative Assistant will work 5 days a week, Monday-Friday, 9:00am-5:00pm, location will vary (office is based in Chantilly VA), and travel will be expected occasionally.

Administrative Assistant responsibilities include assisting in tracking all correspondence, creating a daily agenda, track outstanding tasks to be completed, making travel and meeting arrangements, filing both digital and physical materials, daily lunch arrangements, running work related errands and working on location to provide admin support. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like Google Workspaces, MS Excel and various office equipment. If you also have previous experience as a Secretary, Administrative Assistant or Executive Assistant we’d like to meet you.

Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation for our company president.

Responsibilities:

Draft correspondences including emails, memos, forms and other formal documents

Assist in the collection of regularly scheduled reports from various departments

Track and organize all outstanding tasks to be completed and organize

Create a daily agenda for company president

Plan and schedule appointments and weekly external client meeting for company president

Accompany company president to meetings and take detailed minutes

Maintain filing systems for both digital and physical files

Perform other office tasks for company president

Book travel arrangements for company president

Assist with the updating of expense reports

Maintain company president contact/client list

Facilitate daily Lunch arrangements for company president

Run work related errands for company president

Join company president on job sites to provide admin support

Join company president during work related travel to provide admin support

Qualifications:

Previous experience in office administration or other related fields

Knowledge of office management systems and procedures

Outgoing personality

Ability to prioritize and multitask

Excellent written and verbal communication skills

Strong attention to detail

​Strong organizational skills

Ability to work independently to complete tasks

Working knowledge of office equipment including printers, computers, scanners, etc.

Proficiency in MS Office suite (Word, Excel and Powerpoint) and Google Workspace

High school degree
