SWCA is seeking an Administrative Specialist to support the office in Flagstaff, Arizona working with teams specializing in Natural Resources, Cultural Resources, and Planning.
This is a regular, hourly, full-time position and comes with full SWCA benefits. Reporting to the Flagstaff Office Logistics Coordinator, you will support a team of more than 30 field and office staff in the realms of safety, logistics, employee support, equipment management, expense reconciliation, and vendor management. Highly qualified candidates only interested in a part-time position (= 26 hours/week to 34 hours/week) will also be seriously considered

What you will accomplish:
Coordinate office and administrative activities, including sorting/routing incoming mail and other materials, set up on and off-site meetings, organize project records and files, and ordering or purchasing of office or field supplies and food.
Manage office equipment servicing and vendor relations.
Be the point of contact with building management.
Manage field technology equipment inventory (e.g. tablets, etc.) by providing to field staff and working with the technology team to troubleshoot issues.
Plan and manage office sustainability efforts.
Manage office fleet vehicles by annually updating vehicle registrations, upkeeping with routine vehicle maintenance, scheduling vehicle repair needs and maintaining and organizing records of all vehicles.
Assist and support the lead logistics coordinator with organizing field equipment, booking travel accommodations for staff (hotel, rental vehicles, flights), scheduling field staff, tracking expenditures, reconciling credit card statements and coordination of project logistics with Project Managers and Directors.
Coordinate community events, and volunteer opportunities as part of our SWCA Gives Back Program.
Manage the new hire orientation and onboarding process, including coordination of IT equipment.
Maintain office equipment and office space cleanliness.
Assist the main office safety representative (OSR) and work to manage health and safety compliance tasks including the efficient deployment and safe return of our field staff
Assist staff and project managers with expense reports, proposal preparation, document production, data entry, issuance of Certificates of Insurance, conference registrations, exhibitor booth reservations, UPS/FedEx shipments, and vendor communications, among other tasks as they arise.
Experience and qualifications for success:
Minimum of a High school diploma (or GED equivalent) required.
Minimum of six months of current work experience as an administrative support professional; up to two (2) years of experience is preferred.
Experience in the A/E/C and/or environmental services industries helpful.
Strong organizational skills, customer service approach and problem-solving ability.
Demonstrated proficiency in Microsoft office 365 applications including Word, Excel, Teams and Power Point and other software applications such as Adobe Acrobat Professional
Excellent communication, multi-tasking, and interpersonal skills with the ability to represent the company in a professional manner and meet tight deadlines in a fast-paced environment.
Ability to lift heavy boxes (up to 20 pounds) and maintain office space cleanliness.
Must have a current and valid driver’s license, with the ability to drive multiple types of vehicles including trucks and cars.
Must be able to run office errands with minimal notice during business hours.
Willingness to jump into various types of tasks and learn new things to support our team as needs arise.

An employee for this Flagstaff, AZ -based position can expect an hourly pay rate of $20.33/hour to $26.22/hour. Actual pay within this range may depend on experience, qualifications, geographic location, client requirements where applicable, and other factors permitted by law. Regular-status employees are also eligible for performance bonuses.
